Q. Why do you recommend TIFF and PDF file formats?
A. TIFF and PDF are the only true open file formats for multipage documents available. TIFF files are better suited for document imaging applications. PDF files are ideally suited for application that combines an image with text perhaps from a OCR process.
Q. When I 'view' a file, my PC doesn't know how to open it?
A. Your web browser calls the appropriate application for the type of file it receives, ie: Microsoft Word for .doc files, Adobe Acrobat for .pdf etc. There may be occasions where the native plug-in will not work with the file type you may have provided. To check that the correct application is linked to file types go to My Computer then select View->Options and Click on the 'File Types' tab. A quick way to check is to create an empty file and rename it to the type you're interested in, for example test.doc, test.pdf etc. then double click that file and ensure that the correct application is started.
Q. I have tiff files but Quicktime starts when I retrieve them, why?
A. When a PC has Quicktime (a program by Apple) installed the file association defaults to use Quicktime to open TIFF files. This will cause an error in opening some TIFF files (especially multi- page files), and the Quicktime plug-in will respond with an unsupported file format. To correct the problem in this example, in Windows Explorer, use the Tools| Folder Options| File Types and select and change to the correct program. We recommend you associate the 'Imaging for Windows' software for all .tiff/.tif files.
Q. I can't retrieve images, (aka. Quicktime has taken over my settings.)
A. To rectify the problem, Go to START | Control Panel and double click on Quicktime. This will bring up a menu box, at the bottom there is a button "MIME Setting", click on this button. This will display a list of file types that Quicktime will use. Make sure that the selection for "Images" is NOT selected (ie. the check box is clear). Once it is clear, select OK and exit the control panel.
Q. I click the 'view', 'fax', or 'email' buttons but nothing happens.
A. There's a few likely causes of this, perhaps you have a very old browser version. We recommend Internet Explorer 5 or greater, or Netscape 6 or greater. You should also check that you don't have any popup stopper software active, and ensure that your browser is not blocking javascript.
Q. Why is your software trying to put a cookie on my system?
A. Docpoint uses session cookies to track your current logged in session. If your system accepts cookies the contents of that cookie will point to your currently logged in Docpoint session so that you may navigate between pages. The session is destroyed and the cookie is no longer valid after you log out of Docpoint. Docpoint will function correctly even if your system does not accept cookies.
Q. Can I use a secure https connection to connect to your server?
A. Yes, Docpoint supports https. Simply change your URL to https://... instead of http://... to secure the connection. You will notice a 10-15% performance decrease due to the additional overheads created by https.
Q. Our mail server is hosted by an ISP what do we do?
A. If your ISP is open to installing our 'email connector' software then there is nothing else to do. The connector will collect all email for your domain and pass it to our rules engine for processing. On the other hand if your ISP will not install our 'email connector' then we can install a local email proxy server in your office to do the email collection both incoming and outgoing.
Q. We generate and receive a huge amount of email, is it practical to archive it all?
A. What email you choose to keep is entirely up to you. The archival rules engine may be configured to keep only certain messages.
Q. What about all the spam mail, we don't want to archive that?
A. Regardless of your archive rules and policies you still need an effective spam filtering process in place. Ideally you would filter spam before passing 'good' email messages to the archival system.
